Customer and visitor register of Topaasia Oy

4. Purpose of the register

The data in the customer and visitor register is used for marketing and selling the services and products of Topaasia Oy, and for customer communications. Product demo sessions can also be booked on the site via the Calendly service. The data is processed to follow user activity on the website, how visitors arrive at the site, to track sales progress, and for possible customer profiling for sales purposes. The data is also used for customer service in situations where a visitor contacts Topaasia Oy employees through the chat service or a form on the site.

Customers have the right to opt out of marketing either via the opt-out links included in emails or by notifying Topaasia at galla@topaasia.com. Consent for marketing communications is requested from the customer when the data is collected.

In addition, the data in the customer and visitor register may, where necessary, also be used to investigate suspected misuse of the service and to communicate with users in relation to such suspected misuse.

5. Data content of the register

The data held in the register depends on the customer's interests and commercial decisions. For example, the following data is collected from visitors based on their visit:

• Pages visited
• How the visitor arrived at the site

Data provided by the user

• Name
• Billing address
• Delivery address
• Email address
• Company/organisation name and business ID
• Phone number
• Ordered products with their details (such as price, payment method, order time and any coupon code)
• Data from submitted forms

6. Regular data sources

Data enters the register as provided by the data subjects themselves. Data is collected from visits to the topaasia.com website. Data is also collected when ordering free information and when purchasing products and services from the Topaasia online store.

Data collection takes place through available web technologies, third-party services and as a result of visitors' own activity. Technologies and services used for collection include ActiveCampaign, Calendly, Stripe and web forms.

7. Use of the collected data

The collected data is used, among other things, for the following purposes:

• Improving your user experience
• Improving the usability of the topaasia.com websites
• Providing and speeding up customer service and customer communications
• Faster processing of your purchases
• Sending emails related to your order
• Marketing other Topaasia Oy products

8. Protection of the collected data

Topaasia Oy, together with its partners, takes care of the security of its website and its partners' websites to the best of its knowledge and ability. Your data is kept secure by Topaasia's technology partners and is not accessible to outside parties.

9. Regular disclosures of personal data

Personal data provided via web forms is stored and processed in third-party services, including Pipedrive and ActiveCampaign, which we use to track the status, history and progress of sales and marketing and to improve customer service.

We never sell or pass on the data of our visitors and customers to third parties for marketing purposes.

10. Transfer of data outside the EU or EEA

Data may be transferred outside the EU or the European Economic Area within the limits permitted by law. We only transfer user data for the purpose and to the extent necessary to deliver customer service, communications, products, services and sales.

11. Protection of the register

Topaasia Oy does not process or store material manually. Reports containing personal data taken from information systems are processed and destroyed in accordance with Topaasia Oy's current policies.

We use the necessary technical and organisational security measures to protect users' personal data against unauthorised access or processing. Within the organisation, access to visitor and customer data requires separate permissions.

12. Location data

Approximate location data based on the IP address of visitors' devices, such as city and country, may be collected automatically through the third-party services in use.

13. Cookies

Cookies are used on Topaasia Oy's websites. We use cookies to follow visitor behaviour on the site. A cookie is a small text file that is sent to and stored on the user's computer. We track how users arrive at our site, how long they stay on our site and which pages they read.

You can use the site's cookie settings to disable third-party cookies if you do not want third parties to collect data about you. In that case, the site's functionality may be limited and some features may be unavailable.

14. Right of access and exercising it

In accordance with sections 26–28 of the Finnish Personal Data Act, individuals have the right to check what data about them has been stored in Topaasia Oy's customer register. Visitors who have provided data via web forms have the right to review the data stored about them. Requests must be made in writing by email to galla@topaasia.com.

15. Rectification of data

Topaasia Oy customers can supplement and correct the data stored about them. For data other than contact details, rectification requests must be made by email to galla@topaasia.com or in writing to Pakkaajankatu 21 A 1, 87150 Kajaani, Finland. Visitors can also request the deletion of their data.

16. Right to object

In accordance with section 30 of the Finnish Personal Data Act, data subjects have the right to prohibit Topaasia Oy from processing data concerning them for direct marketing, distance selling, and market and opinion research.
